Job Title: AUCTION & OFFICE ADMINISTRATOR

Role Purpose:
We are looking for a suitable candidate with experience working in a fast-paced office environment who is capable of taking control of all administration involved in running an auction.

The Auction & Office Administrator is responsible for ensuring the smooth, efficient and accurate administration of our auctions. This role involves managing bidder registrations, communicating auction processes, tracking purchases and handling payments. Positive client interaction is a key part of this position, along with handling all transaction processes from start to finish. The role also offers opportunities to travel within Namibia for offsite auctions.

Key Responsibilities

Processing auction contracts in line with auction deadlines
Overseeing all administration related to running an auction
Compiling auction reports
Ensuring stock inventory is accurately processed and received within deadlines
Obtaining and recording all official documentation
Providing customer service to both Buyers and Sellers and resolving queries timeously
Organising facilities for offsite auctions
Running errands
Attending required staff meetings
Performing ad-hoc administrative duties as requested by the Office Manager

Requirements

Minimum 1 year administration experience in a busy office environment
Good data entry skills with proficiency in Outlook, Word and Excel
Flexibility and willingness to work extra hours during busy auction periods
Fluent in English (second language an advantage)
Highly organised with strong attention to detail
High accuracy and honest attitude towards working with finances
Self-motivated and customer service oriented
Driver’s licence is compulsory
Previous auction administration experience will be an advantage
BSc Degree in Administration or relevant field will be an advantage
