DUTIES AND RESPONSIBILITIES
• Secretary to the Executive Committee, Senate and its committees and the IUM Governing Council;
• Typing of correspondence, reports and other documents;
• Maintenance of minute files and records;
• Preparation and posting of agendas;
• Minutes taking at meetings and timely submission for approval;
• Distribution of minutes to members;
• Preparation of letters and documents for the executive and maintenance of appointments and conferences;
• Maintenance of confidential meeting records and files;
• Maintenance of records of decisions;
• Research and assist with preparations of historical decisions, policies and procedures;
• Reviews and editing of reports for meetings;
• Prepares packages for meetings, seminars and conferences;
• Assists with the training of Secretarial staff;
• Performs other duties as directed by the Executive Members
Requirements
•Minimum qualification:
A Bachelor Degree in Office Management, Business Administration or any other related qualification.
• Minimum experience: Three (3) years relevant experience performing at high level the duties and responsibilities associated with this position.
• Knowledge:
Sound practical working knowledge and understanding of secretarial and office administration functions in
an executive office.
• Skills/Competence:
Customer care, ability to execute work under pressure, typing skills, (45 words per minute), interpersonal
and good communication skills, discretion when working with confidential information, administrative skills, strong organizational, problem solving, and computer application skills.
• Job factors:
Tolerable to pressure of work, Variety of tasks, Complexity of work, Time span of discretion, Tolerance /
accuracy.
