MANAGER OF THE OFFICE OF THE GROUP MANAGING DIRECTOR
Job Responsibilities:
Executive Support
- Provide general administrative and operational support to the office of the Group MD and include but is not limited to:
- Planning and maintaining office systems, including data management and filing;
- Receiving and interacting with visitors and clients from all walks of life;
- Answering and managing incoming calls;
- Maintaining paper and online records;
- Arranging meetings, events and conference calls;
- Drafting correspondence and presentations;
- Dealing with all incoming correspondence on behalf of the MD where required;
- Preparing meeting packs and agendas;
- Taking dictation and minutes;
- Producing documents, briefing papers, reports and presentations;
- Research and compiling information;
- Making decisions and delegating work and duties as required to ensure smooth operations;
- Any ad hoc duties and responsibilities as directed and instructed;
- Staying up to date with the latest news, new trends, technology and applications, electronic and otherwise to ensure more efficient and smoother operational execution of duties and support;
- Basic finance duties
- Responsibility for accounts and budgets;
- Petty cash management;
- Managing various day-to-day expenses;
Personal Assistance
- Coordinating the day-to-day schedule of the Group MD including:
- Controlling, execution and planning daily schedule and duties;
- Managing the calendar, appointments and commitments of the MD;
- High-level international travel planning capabilities and coordination, ensuring thorough travel arrangements, itineraries, destination research and execution thereof etc.;
- Oversight of all practical arrangements and logistics to ensure a highly efficient day-to-day schedule;
- Oversight of and assistance on other personal activities such as:
- Property portfolio management and other businesses support;
- General admin, operational support, travel arrangements and ad hoc instructions as and when required;
- Running and coordination of ad hoc errands as required;
Professional Relations
- Board support and liaison as and when required;
- Engage high-level professionals on international and local level such as government officials, business leaders, politicians etc.;
- Liaising with clients, suppliers, and other stakeholders;
- Liaising with group employees as needed;
Events Management
- Assisting with the logistical arrangements of all company board and committee meetings, shareholder meetings, ad hoc presentations, due diligence visits etc.
- Coordinating all meeting logistics, agendas and meeting materials, etc.
- Organizing and, where necessary, attending meetings and ensuring the MD & executives are well briefed and prepared for meetings;
- Planning and coordinating personal gatherings, events and functions as required;
Marketing Coordination
- Assisting and coordination of marketing needs as and when required;
- Oversight and coordination of all Public Relations opportunities, CSI applications and other personal requests received directly by the office of the MD.
Candidate Profile and Core Competencies:
- Demonstrated high-level administration and organizational skills with international exposure in travel management and coordination;
- Experience in dealing with confidential information, execution protocol and demonstrated capacity to maintain confidentiality and professional standards of behaviors in difficult and sensitive circumstances;
- Well-developed liaison skills, including excellent communication skills with a range of public, private and non-profit stakeholders;
- Reliable and stable with excellent time management skills including working to deadlines, attending to detail at all times;
- Must be able to appear and disappear on command;
- Demonstrated writing skills and advanced MS Office skills;
- A very proactive, collaborative mindset and demonstrated capacity to work independently and within a team environment;
- Efficient with an ability to juggle many balls at once;
- Honest, high level of tact, trustworthy and able to work under high pressure; and
- Ability and willingness to work extended, flexi and odd hours when reasonably requested and required, not always office bound.
Minimum Qualifications, Requirements and Experience;
- Grade 12 certificate;
- Bachelor degree or equivalent in relevant applicable areas is an added advantage;
- At least 10 years’ experience as an office administrator, manager or similar environment;
- Experience or background in a financial environment will be an advantage but is not a requirement;
- Proven, fast and accurate typing skills;
- A valid Code 8 driver’s license;
- A minimum requirement to be considered as a possible shortlisted candidate for the vacant position will be that the applicants must successfully pass the “Trustco Group Annual Integrated Reports Test” which will consist of multiple-choice questions from the annual reports of the group spanning a period of the past four (4) years.
- Must have own transport;
- Computer literacy in Microsoft Word, Excel and PowerPoint essential;
- Fluency and complete literacy in English a must.
