Key Responsibilities

Manage and coordinate the CFO’s diary
Screen and manage telephone calls, emails and correspondence on behalf of the CFO
Handle confidential documents, information and communication professionally
Handle shareholder related queries
Prepare, type, and file a variety of documents, reports and presentations
Administer the process for the approval for capital expenditure
Take accurate minutes during executive, management and Board related meetings
Coordinate travel arrangements, itineraries and logistical requirements for the CFO
Provide administrative support for procurement requests
Supervise auxiliary services
Stand in for the PA to the CEO when required
Maintain an effective filing and document management system

Requirements

Namibian citizenship
Grade 12 Certificate
Tertiary qualification in Office Administration, Executive Secretarial Studies, Business Administration will serve as a distinct advantage
Minimum 3 years experience in executive secretarial and/or administrative support roles
Proven experience in taking minutes for executive level or Board/Committee meetings
Strong financial acumen or exposure to finance related environments will serve as an added advantage
High proficiency in MS Office Suite and familiarity with ERP systems
Excellent command of written and spoken English
Ability to maintain confidentiality and handle sensitive information with discretion
Strong time management skills with the ability to prioritize and multitask
