MAIN PURPOSE OF JOB
The Administrative Assistant will perform all administrative and clerical duties necessary for effective
office management. The Administrative Assistant’s responsibilities will include welcoming visitors and
clients, overseeing the activities of office cleaning staff and maintenance contractors, as well as typing
and proofreading various company documents.
The Administrative Assistant, should display good phone etiquette and a thorough understanding of
office management procedures. Ultimately, a top-performing administrative assistant should be able
to demonstrate exceptional organizational and time management skills to complete all duties in a
timely manner.
MAIN RESPONSIBILITIES
» Answering telephone calls, responding to queries, and replying to emails;
» Managing office supplies and ordering new supplies as needed;
» Systematically filing important company documents;
» Forwarding all correspondence, such as letters and packages, to staff members;
» Scheduling meetings and booking conference rooms;
» Ordering cleaning material/equipment and stationery including printing toners and cartridges;
» Sourcing quotations and booking of vehicle for maintenance, repairs and licensing;
» Assist in organizing trips, transportation, and accommodation for staff;
» Sourcing quotations from maintenance companies to replace damaged office equipment or
attend to general office repairs;
» Assisting the HR Manager with job adverts, preparations of interviews and maintaining HR files;
» Assist in the preparation of expense reports and office budgets;
» Assisting the Finance Manager in filing quotations, invoices, payment requests, etc.;
» Perform other duties as may be assigned by the overall supervisor.
MINIMUM EDUCATION
» Grade 12 certificate;
» Undergraduate degree or equivalent in office administration, business administration or
business management is advantageous.
KNOWLEDGE AND SKILLS
» Proven experience working in an office environment for 2-3 years;
» Working knowledge of business management;
» Proficiency with Microsoft Office;
» Ability to work as a member of a team;
» Ability to work under pressure, plan and prioritise workload;
» Excellent organizational skills;
» Effective communication skills;
» Exceptional customer service skills;
» Youth friendliness and non-judgemental attitude towards young people;
» Exercise ethical practices, respectful conduct and behaviour towards internal and external
stakeholders, and equitable treatment of others in all activities.
