Vacant position at NCA Otjiwarongo: Office Administrator
The NCA is looking for an Administrative Officer to join our team In Otjiwarongo and support our daily office procedures. This job is a half-day job and working hours are from 08:00 to 13:00 (Monday to Friday).
A successful Administrative Officer will provide administrative support and manage the queries of NCA staff members. Main duties include managing the levies collected by processors and producers and invoices for our processors and producers; managing office stock; preparing regular reports (e.g. expenses and office budgets) and organising company records. You will also liaise with producers and processors/buyers on charcoal-related challenges. If you have previous experience as an Office Administrator or a similar administrative role, we’d like to meet you. Our ideal candidate also has a working knowledge of office equipment and office management tools.
Ultimately, you should be able to ensure our administrative activities run smoothly on a daily and long-term basis.

Responsibilities
- Manage our levy recording sheet received from processors
- Create and post invoices using Pastel Xpress
- Reconcile bank statements
- Perform month-end and year-end procedure in Postel Xpress
- Keep the NCA’s asset register updated
- Manage office supplies stock and place orders
- Prepare regular reports on expenses and office budgets
- Maintain and update company databases
- Maintain the existing filing system for important and confidential company documents
- Answer queries by employees and clients
- Update office policies as needed
- Maintain a company calendar and schedule appointments
- Book meeting rooms os required
- Distribute arid store correspondence (e.g. letters, emails and packages)
- Prepare reports and presentations with statistical data, os assigned
- Arrange travel and accommodations
- Schedule In-house and external events
Requirements and skills
- Proven work experience as an Administrative Officer. Administrator or similar role
- Solid knowledge of office procedures
- Experience with MS Office (MS Excel, MS Word and MS PowerPoint specifically)
- Postel Xpress Software
- Strong organisation skills with a problem-solving attitude
- Excellent written and verbal communication skills (Afrikaans and English, a third language will be on advantage)
- Attention to detail
- Must have completed Secondary School education or Metric level
- Any additional qualification in Office Administration is a plus.
- Must have a valid driver’s licence (Code 8)
