We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive administrative and clerical support to our Grundfos Pumps and Sectional Steel Tanks department. The ideal candidate will ensure smooth day-to-day operations, coordinate internal processes, support the sales and technical teams, and maintain accurate documentation related to orders, projects, and customer communications.
Duties & Responsibilities:

Provide general administrative support to the department, including handling phone calls, emails, and correspondence.

Prepare quotations, purchase orders, delivery notes, invoices, and other related documentation.

Maintain accurate records of customer orders, supplier information, and inventory for Grundfos pumps and sectional steel tanks.

Coordinate with suppliers and logistics partners to ensure timely delivery of materials and equipment.

Assist the sales team in preparing tender documents, proposals, and customer presentations.

Track project timelines, delivery schedules, and update relevant stakeholders.

Manage and organize departmental files (both digital and physical) for easy retrieval.

Liaise with customers to provide updates on orders, deliveries, and general inquiries.

Support inventory management and stock-taking activities in coordination with the warehouse team.

Assist in scheduling meetings, preparing meeting minutes, and following up on action items.

Ensure compliance with company policies, safety standards, and regulatory requirements.

Provide ad hoc administrative support as needed to ensure department efficiency.
Qualifications & Experience:
-
High school diploma or equivalent; additional administrative or business qualifications are a plus.

Proven experience as an administrative assistant, preferably in a technical or engineering environment.

Familiarity with pumps, steel tanks, or similar mechanical equipment is an advantage.

Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint).

Experience with ERP systems or inventory management software is a plus.

Excellent organizational, time-management, and multitasking skills.

Strong written and verbal communication skills.

Ability to work independently and collaboratively in a team-oriented environment.

Strong attention to detail and problem-solving abilities.

A valid driver’s license will be an added advantage.
