POSITION SCOPE
The Talent & Culture Coordinator’s primary responsibility is to meet and assist both Colleagues and external guests courteously and efficiently by given a warm welcome, handle requests efficiently and exceed their expectations. Responsibilities will include all administrative tasks and support of the Talent & Culture team.
TASKS, DUTIES AND RESPONSIBILITIES
- Recruitment and Selection
- Undertake Recruitment and co-ordinate the selection process
- Advertise internally and externally and file copies of advertisement
- Develop and maintain relationship with employment agencies, universities, hotel schools and other recruitment sources
- Maintain recruitment records
- Coordinate Selection Process (Screening and Interviews with relevant parties)
- Conduct reference checking from a minimum of 2 previous employers of the candidate
- Arrange LexisNexis Background Check on prospective employees
- Prepare Employee Action Forms (EAF)
- Prepare Contract of Employment
- Ensure that Recruitment policies and procedures are adhered to including compliance with Labour Legislation
- Conduct Exit Interviews to identify trends, retain competent staff and make recommendations where change is necessary
- Manage entire recruitment process on TAS
- Upload relevant vacancies on PNET.
- Point of contact for LinkedIn Recruitment page
- Updating of job descriptions
- Appointment Notices
- Other duties as assigned
- Administration
- Assist the Talent & Culture Department in the day-to-day operation of the department as required.
- Scheduling and arranging appointments as required
- Prioritize all telephone calls and in-person external and internal visitors
- Handle colleague requests
- Responsible for processing and tracking invoices and expense reports as necessary
- Compose all written and email correspondence for the Talent & Culture Department, such as letters, staff notices
- Support internal HR projects, tracking necessary action and updating reports as progress is made. This includes championing the tracking of all HR Policies and ensuring all colleagues have signed this which must be filed in the employee files and Master file
- Filing of Employee Records. Maintenance and Bi-annually Auditing of Employee Files
- Handle all office administration duties such as photocopying, and ordering office /stationery supplies
- Creation of name badges
- Custodian of Staff Uniforms
- A key member of the Planet 21 Committee
- Distribution of all pay slips and other Talent & Culture related correspondence
- Handles weekly Leased Labour Requisitions and filing of the same
- Update Payspace information
- System Access and Email Creation for all Colleagues
- Termination of Email Accounts and Access
- Any other duties assigned by the Director of Talent & Culture
- Payroll and Benefits
- Facilitate of New Hire Paperwork
- Prepare & Handover Medical Aid New Hire & Termination Correspondence for Talent & Culture Officer
- Other duties as assigned
