SWITCHBOARD OPERATOR – Lady Pohamba Private Hospital

Key Responsibilities

• The incumbent will be responsible and accountable for:
• Operate and manage the hospital’s switchboard system effectively and efficiently.
• Answer, screen and direct incoming calls to the appropriate departments or employees.
• Take and relay accurate telephone messages where required.
• Provide callers with basic information and assistance in a professional and courteous manner.
• Maintain an accurate and up-to-date directory of internal extensions and relevant contact information.
• Manage and respond to switchboard-related enquiries efficiently.
• Maintain professional and courteous telephone etiquette at all times.
• Assist with general reception and administrative duties when required.
• Maintain confidentiality when handling sensitive, patient-related or business information.
• Report any faults, technical problems or interruptions relating to the switchboard system.
• Ensure that calls are handled promptly and professionally.
• Escalate urgent or relevant calls to the appropriate department or person responsible.
• Maintain a professional and welcoming telephone service that reflects the standards of Lady Pohamba Private Hospital.
• Perform any other duties reasonably related to the position.

Requirements

• Grade 12 or equivalent qualification.
• Previous experience as a Switchboard Operator, Receptionist or in a similar customer-facing role.
• Excellent verbal communication and interpersonal skills.
• Professional and courteous telephone etiquette.
• Good command of English; knowledge of additional local languages will be an advantage.
• Basic computer literacy.
• Ability to work under pressure and manage multiple calls and enquiries efficiently.
• Good organisational and administrative skills.
• Ability to maintain confidentiality and exercise discretion.
• Previous experience within a healthcare or hospital environment will be an advantage.
