SECTION ADMINISTRATIVE SUPPORT
Post designation : Senior Administrative Officer Grade 10

Scale of Salary : N$147,485 – N$176,895
Transport allowance : N$7,680 p. a
Housing allowance : N$10,464 p. a
Minimum Requirements: An appropriate National Diploma (NQF Level 6) in Business
Administration or Public Administration, Finance and Accounting, or Logistics plus one (1)
year experience in fleet management, stock control and procurement OR A Grade 12
Certificate (NQF Level 3) with 20 points and E-symbol in English plus four (4) years experience
in fleet management, stock control and procurement. Applicants in the Public Service
should attach their confirmation of probation letter as Administrative Officer Grade 12.
Main duties:
Fleet management: serves as the transportation coordinator for all divisions, assesses
incidents and accidents, and ensures compliance with the fleet’s legal framework. Keep
track of fleet records and monthly reports, as well as vehicle inspections, license
renewals, vehicle service updates and maintenance, a key control register, and safe
keeping. Ensure that GRN vehicles are in good condition, are not being misused, and are
neat and clean.
Conduct regular inspections in your section to ensure work quality, performance, and
production, as well as to ensure that staff performance meets established standards and
expectations.
The performance management system; assists in the preparation of sectional annual
management plans, performance agreements, quarterly reviews, and annual
performance agreements for subordinates
Procurement; prepare Annual Procurement Plan, serve as a member of the Procurement
Management Unit, prepare quarterly procurement report, initiate procurement process,
provide secretariat to the Procurement Committee and ad hoc bid evaluation
committees
Record management; The incumbent will be in charge of stock control and updating
other related store registers, as well as updating the leave records register, managing
mail records, filing land rights records, updating the land rights register, filing all
correspondence, and maintaining key control registers.
Financial Management: Prepare monthly financial reports for the decentralisation
account, reconcile utility and fleet accounts, provide proof of payment to service
providers, capture data in the system (EFT), prepare all division payments;
Any other related work / duties assigned by supervisor
The successful candidate shall be seconded to the Ohangwena Regional Council.
