SENIOR ADMINISTRATIVE OFFICER GRADE 10

Minimum requirements: An appropriate National Diploma or equivalent qualification on (NQF Level 6) plus 1 year appropriate OR A Grade 12 Certificate (NQF Level 3) plus 3 years appropriate experience
Supplementary requirements:
- Good oral and written communication skills Computer literacy
- Good organizational supervisory skills
- A valid driving licence
Main responsibilities:
- Procurement, safekeeping and maintenance of ACC assets
- Annual stock taking and keeping of proper stock control register/system
- Drafting of submissions to Tender Board and Treasury
- Preparation of monthly vehicle log sheets trip authorities
- Compile accident reports
- Safekeeping of assets/documents
- Serve as a member of PMU and loss control committees
- Institution develop specifications for fleet required and funds availability confirmed
- Motivate and recommend fleet acquisition
- Update master list on; New added vehicles, Disposed vehicles, each vehicle maintenance history files, vehicle added accessories, vehicle DATA sheet- details
- Implement management decisions on which division, section to be allocated with vehicles on a monthly basis
- Ensure suitable & economical vehicles allocation
- Ensure that vehicle are used by authorized drivers/users
- Ensure all vehicles are used for authorized official trips/ activities
- Log books are fully completed and trips accounted for being local & Regional
- Carry daily physical inspection of checking liquid levels is conducted
- Ensure regular maintenance for each vehicles maintenance intervals
- Monitor budgetary provision monthly
- Assist Procurement Management Unit (PMU) & Procurement Committee (PC) to facilitate repairs of vehicles either on motor plan or out of service plan
- Vehicles are continuously serviced according to the manufacturer recommendations

- Service intervals not exceeded unnecessarily
- Service /maintenance history is fully kept and updated
- Total expenditure of each vehicles is maintained
- Fuel expenditure for each vehicles properly recorded
- Ensure that vehicles removal accessories and necessity tools are safely kept on daily basis
- Ensure that all accident & incidents are properly recorded and all damages to each vehicles accounted for
- Accident report of each accident/incidents are properly recorded and reported to the supervisor (s)
- Renewal invoice for licensing timely collected from NATIS and scrutinized for correctness
- All vehicles are displaying valid license disk on their windscreen
- Ensure that vehicles identified for disposal are scrutinized & recommended by PIVILI/PC
- Technical vehicle inspection forms fully completed
- Treasury authorization facilitated and approved for auctioning
- Performing such other functions as may be assigned by supervisor
