RETIREMENT FUND SECRETARY

We’re looking for a seasoned professional (5+ years’ experience) with a background in retirement fund secretarial services, strong governance knowledge, and excellent organisational skills.

You’ll manage meetings, minutes, resolutions, policy registers, and trustee communications—ensuring everything runs smoothly and confidentially.

Who we’re looking for

If you want to join our dynamic team, this is what you’ll need to succeed:

• 5+ years of experience in the retirement funds or financial services sector

• Proven background in retirement fund secretarial services

• Strong knowledge of corporate governance

• Excellent organisational skills and attention to detail

• Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)

• Strong command of spoken and written English

• Comfort using Teams and electronic agenda platforms

• Capacity and availability to meet the expectations of this role

• Professionalism, integrity, and reliability

Your core responsibilities

You’ll be a key player in supporting the smooth running of the Funds, with responsibilities that include:

• Planning and coordinating meetings

• Preparing electronic agenda packs using the Funds’ chosen software

• Recording, preparing, and finalising minutes on deadline

• Drafting and managing trustee resolutions

• Keeping accurate records: Trustee register, resolutions register, governance documents, and the Funds’ policy library

• Managing updates and reviews of Fund policies, governance registers, and practice notes

• Supporting communication as required by the Principal Officer

• Maintaining strict confidentiality of all Fund documents
