Main Purpose of the Job:
Operate the switchboard and route all incoming and outgoing telephone calls. Perform reception duties for all visitors to the Naras Investments (Pty) Ltd office. Ensure smooth and effective communication between employees and stakeholders to promote a professional image.
Duties and Responsibilities not limited to:
⦁ Screen all incoming calls and divert callers to the right people to ensure that the incoming calls are not unattended for too long and take messages on behalf of employees to give when employees are available.
⦁ Accuracy of messages and prompt dissipation thereof.
⦁ Ensure the responsible use of the telephone.
⦁ Customer feedback and providing a professional image of the office
In principle, the Receptionist is expected to attend to the following:
⦁ Ensure the kitchen is sufficiently stocked and give requirements timeously and correctly for ordering.
⦁ Learn, apply, and contribute to good customer care at reception and operation of the switchboard for correct routing of calls.

⦁ Cooperate with colleagues and provide inputs as required.
⦁ Identify own training needs as required and maintain professional standards.
⦁ Control personal appearance as well as that of the reception area. Tidy and clear up the appearance of the reception area from papers lying around, all documents are filed and placed in an organized fashion to ensure the reception area is neat when providing first-point contact for all visitors, contributing to the image and reputation of Naras Investments (Pty) Ltd.
⦁ Manage a good personal appearance, and behavior in speaking with customers, empathy and helpfulness are always displayed to ensure all customers are satisfied when leaving the office building, at all times.
⦁ Ensure regular servicing of the photocopies, by informing service provider on service due dates or any malfunctions, to avoid breakdown of copiers and speedy repairs
⦁ Do typing of correspondence, filing and other administrative duties as required
⦁ Obtain departmental reordering sheets for office consumable stock of refreshments, compiles one order and present for approval by the Manager to ensure availability and approval of office consumables.
Minimum Requirement:
⦁ Grade 12 with a course in Switchboard Operator/ Diploma in Office administration will be an added advantage
⦁ 2 years’ experience in a similar or related environment
⦁ Basic Knowledge of MS word and Excel will be an added advantage
⦁ Basic problem-solving, planning, organizing and administration skills.
⦁ Comfortable multi-tasking and prioritizing tasks without guidance
⦁ Professional appearance, friendly and composed, professional conduct at all times.
⦁ Excellent communication skills and command of the English language
⦁ Must be a Namibian Citizen,
