RECEPTION/SWITCHBOARD OPERATOR

Purpose of Position

The Receptionist will manage the telephone switchboard, and will be responsible for forwarding calls to the relevant person and/or taking accurate messages when required.
The Receptionist will need to support staff in all divisions with organisational and administrative tasks as required.

Main Responsibilities:
• Represent the company on the telephone by answering all incoming calls timeously and in a professional and courteous manner at all times
• Direct all customer queries to the appropriate person
• Ensure that incoming calls are answered and connected in the shortest possible time
• Ensure that messages are accurately recorded and passed on as soon as recipient is present or available
• Provide relevant and accurate information to customers when required
• Assist with administration and filing processes at Vehicle Sales Department
• Be conversant with general administrative work and with PA function specifically
• Receive costumers in a professional and friendly manner
• Keep reception area clean, tidy and neat
• Ensure coffee, tea, sugar, cool drinks, milk and reading material are always available in the reception area
• Alert management on any problem that may prevent the effective handling of the switchboard, e.g. calls not been answered – escalate to relevant manager if necessary

Minimum requirements
First class customer/people handling skills and excellent communication skills both face to face and over the telephone.
Maintains a professional and neat appearance at all times.
