PROGRAMS AND PROCESSES COORDINATOR | NCRST

JOB PURPOSE:
The PROGRAMS AND PROCESSES COORDINATOR is primarily responsible for mapping
and improving all the NCRST’s business processes. Moreover, the incumbent develops detailed
project schedules, plans projects and facilitates tracking of progress while contributing to the
development, implementation and monitoring of the entire NCRST’s quality management
system. The position reports to the Head: Quality Assurance and Operational Excellence.
KEY PERFORMANCE AREAS:
• Accountable for modelling and visual representation of business processes in all aspects,
including the creation of process maps using process modelling software.
• Take charge of project planning and scheduling of all the NCRST projects, define scope of
work and and liaise with management and project teams to schedule and coordinate
assignments.
• Implement and maintain a scheduling management system to support identified projects.
• Conduct relevant analysis to evaluate project schedule progress as well as project risks, and
identify solutions and/ or workaround strategies to problem areas and recovery on projects
falling behind schedule.
• Provide ongoing support to project teams, specifically on developing and updating interval
schedules, developing and maintaining periodic status.
• Accountable for the administration of all projects undertaken by the NCRST, log all project
information into database, i.e. project timelines, maintain a database of tasks and their status
and provide scheduled reports.
• Maintain repository of all mapped business processes of the NCRST.
• Facilitate all processes of stakeholder needs assessment and/ or satisfaction surveys, compile
survey reports and monitor the development and implementation of interventions relevant
to the identified needs/ concerns from surveys.
• Facilitate the review of the NCRST’s Policies, Procedures and other relevant documents and
maintain document control mechanisms/ processes.
• Advice on the most appropriate business processes to be followed as well as the effectiveness
of organizational systems.
• Coordinate the technical aspects of the management systems through effective review of risks
affecting management systems.
• Maintain records of all audit and assessment records conducted as well as the master list and
repository of all NCRST’s controlled documents.
MINIMUM EDUCATIONAL QUALIFICATIONS AND EXPERIENCE:
• A relevant Bachelor’s degree (NQF Level 7) in areas of Project Management, Computer
Science, Business Informatics, Information Technology, Engineering or equivalent.
• At least three (3) years’ experience in a similar position or in related work.
• Evidence of continuing professional development.
• Valid Code BE Drivers Licence.
• Sound knowledge of professional software programmes.
• Sound knowledge of Business Process Mapping Techniques.
• Sound knowledge of Critical Path Method (CPM) [Scheduling Technique]
• Knowledge of related standard requirements, i.e. Understanding and auditing ISO 9001:2008,
ISO/IEC 17025: 2005 and ISO/IEC 17020: 2012
• Knowledge of stakeholder needs assessments/satisfaction surveying techniques.
SKILLS AND ATTRIBUTES REQUIRED:
• Excellent interpersonal skills and ability to communicate at all levels within the organisation.
• Strong analytical, project management and service planning skills.
• Must be flexible, adaptable in work approach and a self-starter, who takes initiative and able
to operate independently.
• High level of integrity, customer oriented, and the ability to maintain strict confidentiality.
• Advanced computer literacy proficiency, i.e. MS Visio, MS Project or similar Software.
• Strong organisational skills and a meticulous eye for detail.
• Sound reasoning skills and the ability to resolve complex problems.
CONDITIONS OF EMPLOYMENT:
• This is a permanent appointment with a performance agreement.
