PERSONAL ASSISTANT TO CEO (C3))
- Purpose:
To provide the Chief Executive Officer with a full secretarial support service, and manage all office administrative matters that arise in the day to day activities of the superior’s office, while maintaining and promoting the professional image of this office.
- Key performance Areas:
- Performs all required drafting of correspondence and other documents for the CEO and Councils.
- Drafts correspondence for other personnel, if requested Department Heads
- Records messages and ensure that the urgency and importance of these is always accurately conveyed.
- Contacts persons who have left messages to indicate delays or changes in situation
- Discuss messages with the CEO/Mayor and requests guidance on which ones require immediate action.
- Screens visitors to the CEO in a courteous yet decisive manner, making sure that the CEO’s/Mayor time is not wasted by unnecessary interruptions and at the same time satisfying the visitor’s/caller’s need
- Arranges the CEO’s travel matters, including drawing up itineraries, obtaining visas, etc.
- Informs the cleaning staff of the standard of cleanliness and appearance of the CEO’s reception area though the HR Manager.
- Ensures that all stationary, consumables stocks and refreshments needed in the CEO’s office are available at all times
- Monitors, controls and records all transactions regarding the CEO’s budget for consumables and arranges for payments and proper recording.
- Discusses/motivates any major improvement of the reception area with regard to additional equipment, furniture, etc with the CEO in order to enhance the
- Office’s image.
- Arranges meetings and special events and take minutes at such meetings as requested
- Prepares and compiles agendas and minutes of Executive Management/Council meetings.
- compiles and photocopies relevant Executive Management/Council meeting minutes, distributing delivering such documentation as required.
- Sends correspondence to Executive Management /Council through the CEO’s Office
- Minimum Education Qualification Requirements:
B-Degree/ Diploma at NQF Level 7 in Executive
Secretarial or Office Administration
□.Minimum Experience Requirements:
At least 4 years’ experience required in a similar role, municipal background would be an advantage
