THE POSITION REPORTS TO THE LEGAL ADVISOR
JOB PURPOSE:
The purpose of the job is to provide legal and general secretarial support, as well as personal care assistance to the Legal Advisor, who is a quadriplegic, to execute his work efficiently. This is carried out by exercising judgment, displaying own initiative and effective communication internally and externally.
KEY ACCOUNTABILITIES:
Provide legal secretarial assistance/support with regard to legal advice, legislation and preliminary assessments of litigious matters
Provide general secretarial and administrative support functions;
Schedule dispositions, hearings, meetings and appointments, and coordinate the arrangements for all such meetings and appointments
Compile necessary material for meetings/conferences to facilitate the Legal Advisor’s preparation for and meaningful contribution to such meetings/conferences
For internal and external meetings, prepare and circulate meeting documentation as necessary, attend meetings and produce and distribute minutes of meetings
Manage the Legal Advisor’s diary and ensure that the arrangements of meetings, travel, accommodation, daily subsistence allowance or attendance of events are completed timeously
Liaise with the Travel Administrator to ensure all the necessary paper work for travel arrangements is completed on time
Liaise with airlines, hotels and other parties to ensure the Legal Advisor’s particular needs are met
Make travel arrangements for the Legal Advisor’s personal caretaker
Take care of the Legal Advisor’s personal needs, e.g. feeding him when required, assisting him when he has breathing difficulties, and other physical needs as and when needed
Be prepared to attend meetings and workshops and travel with the Legal Advisor to assist with administrative duties
QUALIFICATIONS AND EXPERIENCE:
Professional Secretarial qualification
Three to four (3 – 4) years’ secretarial/administrative experience
Minimum of two (2) years’ experience in taking care of people with disabilities, or old age or any related care facility
Experience as a legal secretary will be an advantage
KNOWLEDGE OF:
Legal Office, Legal Software
Basic research in terms of acts, cases, etc.
Good knowledge of spelling, grammar and vocabulary
Assisting a quadriplegic person both physically and psychologically
SKILLS:
Caretaking of a quadriplegic person
Good verbal and written communication skills
Research skills
Excellent organisational skills
Excellent computer skills, particularly Microsoft Office Suite
Time management
Prioritising and problem solving skills
Fluency in English language
Conversing with external lawyers and internal clients on a
professional basis
Effective minute taking skills
