POSITION: LEGAL SECRETARY
The Law Society of Namibia (LSN) is a self-regulating body created in terms of the Legal Practitioners Act (1995), which serves the profession and the public by promoting justice, protecting the independence of the judiciary and upholding the Rule of Law. This position supports and reports to the Director and Manager Regulatory & Compliance in achieving, inter alia, the primary management of internal and external relationships in various segments, such as:
KEY RESPONSIBILITIES INCLUDE:
• SECRETARIAT & ADMINISTRATIVE AND OFFICE SUPPORT
Attend to the preparation of Council meeting agendas packs.
Attend to the taking of minutes accurately during the meetings .
Prepare minutes and or reports subsequent to the meetings.
Maintaining accurate records of Council resolutions and decisions taken.
Coordinating correspondence between the Council, committees, and external stakeholders.
Ensuring proper filing and archiving of governance and compliance documents.
Managing diaries, scheduling appointments, and organising meetings/workshops.
Handling incoming and outgoing correspondence (physical and electronic).
• SECRETARIAT & ADMINISTRATIVE AND OFFICE SUPPORT
1. Preparing and formatting official legal correspondence, notices, and circulars follow-up communications to the Council, legal practitioners and stakeholders.
1. Assisting with the processing of applications (admissions, renewals, registrations, etc.) in compliance with the Legal Practitioners Act.
1. Maintaining registers for legal practitioners, law firms and stakeholders.
• CLIENT & STAKEHOLDER LIAISON
1. Acting as a first point of contact for members of the legal profession and the public.
1. Responding to general inquiries and directing complex matters to the relevant departments.
1. Liaising with regulatory bodies, courts, and other partner institutions.
• RECORD & INFORMATION MANAGEMENT
1. Maintaining confidential member and case files in line with confidentiality policy and standards.
1. Organising and updating databases to ensure information accuracy and accessibility.
1. Assisting in the compilation of annual reports and official publications.
• REQUIREMENTS
1. The applicant must be a Namibian citizen.
1. Minimum of 5 years’ secretarial and Board experience in the fields of minute taking / corporate governance.
1. Advanced understanding of Word and Excel and PowerPoint presentations.
1. Certificate in advanced minutes taking / report writing or similar course.
1. The applicant must be in possession of a valid driver’s licence
