Jhpiego invites applications for upcoming five year ACHIEVE USAID-funded global cooperative agreement with
the dual objectives of attaining and sustaining HIV epidemic control among at-risk and hard to reach pregnant and
breastfeeding (PBF) women, infants, children, and youth. As well as to mitigate the impact of HIV/ AIDS and
prevent HIV transmission among these populations; and supporting the transition of prime funding and
implementation to capable local partners in order to meet the PEPFAR goal of 70% of funding to local partners.
As part of USAID/Namibia’s DREAMS programming for vulnerable adolescent girls and young women
(AGYW), ACHIEVE will implement DREAMS interventions in two geographic regions (4 districts). Jhpiego,
through ACHIEVE, is looking for following positions that will be working with ACHIEVE Namibia team to
implement DREAMS activities.
FRONT DESK/ADMIN ASSISTANT (12 MONTHS CONTRACT); WINDHOEK
Responsibilities:
• Greet, welcome and direct visitors appropriately.
• Notify staff of visitor’s arrival.
• Maintain security and telecommunication system
• Assisting with the drafting of memos, participants list, and budget for trainings and workshops.
• Serve as point of contact for all Office Administrative and logistics needs.
• Responsible for organizing and managing the physical condition of the office space, office equipment, IT,
mail, security.
• Provide timely and response support to project procurement requests.
• Draft/compile program documents and correspondence as needed.
• Coordinate flight bookings for domestic and international travel, including for visitors.
• Schedule and support trainings and other program activities as needed.
• Coordinate meetings including preparing meeting materials, managing the Audio/Visual system, taking notes
and organizing catering.
• Maintain and administer inventory system of Jhpiego’s equipment, materials and supplies
• Keeps proper office records/filings as appropriate
• Records minutes of meetings and circulates to the concerned staff members for input.
• Supports in Fleet management, fuelling and maintenance and supervision of drivers.
• Coordinate office cleaning, stores and inventory management, supervises third party service providers such
as cleaning, courier, catering vendors etc.
• Maintain Jhpiego administrative policies and procedures at the office
• Supervises transport and office management operations of the Windhoek offices.
Minimum Qualifications
• Diploma in Office Administration/ Office Management/Business Administration/
• Minimum of 1 years appropriate working experience
• Computer skills (including MS Word, Excel, PowerPoint).
• Strong interpersonal, writing, and oral communication.
• Ability to work independently in an unstructured environment, as well as within a team.
