Job summary
NAMBTS is seeking a suitable candidate to fill the position of an Executive Secretary to provide essential administrative and support services to the Chief Executive Officer (CEO) and Medical Director, managing their schedules, coordinating meetings, and handling a variety of tasks to enable them to focus on their core responsibilities, as well as to provide administrative support to the Board of Directors.
Key Performance Areas:
• Organizing and preparing for board, management and operations meetings, including setting agendas, sending reminders, and taking minutes.
• The Medical Director is part-time and not resident at the head office, so the Executive Secretary will act as the liaison between the Medical Director and other team leaders, ensuring smooth communication.
• Providing clerical assistance to the CEO and Medical Director, such as typing, filing, and maintaining records.
• Overseeing office operations, including ordering supplies and managing office space; booking flights, hotels, and transportation for the entire management team of NAMBTS.
• Coordinate activities of the Members including Member’s meetings like AGM.
Minimum Qualifications and Experience:
• Diploma in Office Administration or equivalent and relevant Secretarial qualifications
• Five (5) years’ working experience as an Executive Secretary or similar role in a reputable organization
• Driver’s license.
• Be a Namibian citizen.
Competencies and skills required:
The incumbent should have the following knowledge, skills and abilities:
• Strong communication and exceptional organizational skills
• Excellent time management and high level of attention to detail.
• Proficiency with office software, adaptability, a proactive approach, and the ability to work independently.
• High degree of professionalism in dealing with diverse groups of people, including Board members, senior managers, staff and blood donors.
