TWELVE (12) MONTHS TEMPORARY EMPLOYMENT
POSITION: EXECUTIVE ASSISTANT
DUTY STATION: Windhoek
Report to: Executive Chairperson
Paterson Job Grade: C5
Duration: 12 months contract
Primary Purpose of the position:
Provides advice on legal matters to the Board and Management Committee of the Council as well as drafting and reviewing contracts. Provides secretarial services to the Board of Directors and ensures that decisions of the Board of Directors are implemented and communicated to the Management of the Council. Provides professional support and advice to the Management, ensuring efficient administration, compliance with corporate governance principles, statutory and regulatory requirements.
Key Performance Areas
Legal Service
⦁ Monitors change in relevant legislation, in the regulatory environment and take appropriate action.
⦁ Ensure legal compliance of the Council to its governing documents, relevant legislation, strategic plan and any
other relevant legal and policy instruments.
⦁ Provide legal advice and assistance to the Board and Management of the Council on their responsibilities and discharge thereof, per the provisions of the relevant legislation
⦁ Takes legal responsibility for the health and safety of employees and manages legal matters related to insurance and property.
⦁ Formulate contracts on behalf of the Council, including, but not limited to, service level agreements, employment contracts and procedural agreements.
⦁ Contributes to meeting discussions and advises members on the legal, governance, accounting and implications of proposed policies and legislation.
Secretarial Services
⦁ Drafts and verifies correspondence documents, in consultation with the Director / Executive Chairperson and distributes these to respective Board members.
⦁ Ensure the preparation of board documents for Board meetings, and serves as Secretary to Board meetings and its Sub-Committees.
⦁ Compiles feedback reports on behalf of the Chairpersons of various Board Committees
⦁ Prepare reports and resolutions in respect of the Board and Management, as and when required.
⦁ Ensure the preparation of documents for the Representative Council and the General Assembly and serve as
Secretary to the meetings.
⦁ Ensures the accuracy of all Board/Representative Council/General Assembly records and keeps an up-to-date f iling system
⦁ Maintain safe custody of all confidential documents
⦁ Provides support to Director and Board members by ensuring smooth and effective operation of the Council.
Liaison Services
⦁ Communicate important Board resolutions to all Board members and Management
⦁ Acts as a liaising person between the Board, Executive Chairperson and Director
⦁ Liaise with regulators and advisors, such as lawyers and auditors on legal matters of the Council
Educational Qualifications & Experience Required
⦁ Bachelor of Law (LLB) or any other equivalent qualification
⦁ Minimum of Five (5) years of working experience in the legal and corporate environment
⦁ Driver’s License – Code B
Competencies Required:
⦁ Legal drafting skills
⦁ Knowledge of relevant Legislation
⦁ Computer literacy skills (Microsoft Office) advanced
⦁ Excellent administration and organisational skills
⦁ Excellent Communications skills
⦁ Ability to work under pressure and meet deadlines
