PRIMARY PURPOSE OF THE POSITION
The Debriefing Administrator is responsible for overseeing the debriefing process of distribution activities, ensuring accurate tracking and reporting of deliveries, and providing administrative support to the distribution team. This role requires a keen attention to detail, strong organizational skills, and the ability to manage and analyse distribution data effectively.

Key Responsibilities
- Conduct detailed debriefs with distribution teams to capture performance metrics, issues, and feedback.
- Compile and review debrief reports/documents to identify patterns, areas for improvement, and corrective actions.
- Coordinate with various departments to ensure timely resolution of distribution issues.
- Make sure all return documents are correct and allocated to the different departments.
- Monitor and track distribution activities to ensure on-time delivery and accuracy.
- Update and maintain tracking systems and databases to reflect real-time status of deliveries.
- Generate and distribute regular reports on distribution performance, delays, and exceptions.
- Update all relevant Matrixes assigned to Manage.
- Enter and maintain accurate data related to distribution activities in internal systems.
- Analyse distribution data to identify trends and provide insights for process improvements.
- Ensure compliance with data integrity and confidentiality standards.
- Provide administrative support to the distribution team, including scheduling meetings and preparing documentation.
- Assist in the preparation and maintenance of distribution policies and procedure
- Handle correspondence and communication with internal and external stakeholders as required.
- Collaborate with distribution and logistics teams to identify and implement process improvements.
- Participate in projects aimed at enhancing distribution efficiency and effectiveness.
- Stay updated with industry best practices and technologies related to distribution and tracking.

Requirements
- Grade 12 (NQF 4) with 3 years relevant experience in the FMCG industry including transport /logistics.
- OR
- A Degree/diploma in logistics or transport management related field with 1-year relevant experience in transportation, logistics and tracking.
- Computer literate with a good mastering of Microsoft Word, Excel, Outlook.
- Namibian Citizen
- Proficient in written & spoken English.
- Valid Driver’s License.
