REPORTS TO: NATIONAL COORDINATOR
MAIN PURPOSE OF THE JOB
The Receptionist will perform all administrative and clerical duties necessary for effective records
management. The staff member’s responsibilities will include welcoming visitors and clients,
overseeing the activities of office cleaning staff and maintenance contractors, as well as typing and
proofreading various company documents.
MINIMUM EXPERIENCE/KNOWLEDGE
The Receptionist should display good phone etiquette and a thorough understanding of the office
management procedures. Ultimately, a top-performing Receptionist should be able to demonstrate
exceptional organizational and time management skills to complete all duties in a timely manner.
DUTIES AND RESPONSIBILITIES
» Answering telephone calls, responding to queries, and replying to emails;
» Managing office supplies and ordering new supplies as needed;
» Systematically filing important company documents;
» Forwarding all correspondence, such as letters and packages, to staff members;
» Scheduling meetings and booking conference rooms;
» Ordering cleaning material/equipment and stationery including printing toners and cartridges;
» Sourcing quotations and booking of vehicles for maintenance, repairs, and licensing.
» Sourcing quotations from maintenance companies to replace damaged office equipment or
attend to general office repairs;
» Assisting the Clinic Manager in the filing of important documents and maintenance of client
records, etc.;
» Perform other duties as may be assigned by the overall supervisor.
PREFERRED SKILLS
» Proven experience working in an office environment for 3-5 years;
» Working knowledge of business management;
» Proficiency with Microsoft Office;
» Ability to work as a member of a team;
» Ability to work under pressure, plan and prioritize workload;
» Excellent organizational skills;
» Effective communication skills;
» Exceptional customer service skills;
» Youth friendliness and non-judgemental attitude towards young people;
» Exercise ethical practices, respectful conduct and behaviour towards internal and external
stakeholders, and equitable treatment of others in all activities.
REQUIREMENTS/QUALIFICATIONS
» Grade 12 certificate;
» Diploma or equivalent in office administration, business administration or business
management is advantageous.
