The Administrator / Bookkeeper is responsible for supporting the smooth daily running of the business through accurate bookkeeping, creditor management, fuel and timesheet administration, filing, and general office support.

Key Responsibilities
- Fuel management – monitoring and recording fuel usage and purchases, reconciling fuel cards/logs, and flagging discrepancies
- Creditors – processing supplier invoices, reconciling statements, and preparing payments for approval
- Timesheets – collecting, checking, and forwarding employee timesheets for payroll purposes
- Filing – maintaining accurate, up-to-date physical and electronic filing systems
- Bookkeeping – capturing financial transactions, processing basic reconciliations, and maintaining accurate financial records
- Debtors – assisting with invoicing and following up on outstanding payments where required
- Petty cash – managing and reconciling the petty cash float
- General administration – answering calls, handling correspondence, ordering office/stock supplies, and assisting with ad hoc admin tasks
- Data entry and record-keeping – ensuring information is captured accurately and consistently across systems
- Assisting with month-end processes and preparing basic reports as needed
- Liaising with suppliers and service providers on routine account queries
- Any other reasonable administrative or bookkeeping duties as required by management
Requirements
- Matric (Grade 12); a bookkeeping qualification or equivalent experience is an advantage
- Previous experience in bookkeeping or administration
- Proficiency in Microsoft Excel and accounting/bookkeeping software (e.g. Pastel, Sage)
- Strong attention to detail and accuracy
- Good organisational and time-management skills
- Trustworthy, with the ability to handle confidential and financial information discreetly
