Key Responsibilities
- Receive and assist patients and their families with the admission and registration process.
- Register new and returning patients accurately on the hospital’s admission system.
- Verify patient demographic, contact, medical aid and other relevant information.
- Ensure that all required admission documentation is completed accurately and signed where applicable.
- Verify medical aid membership and benefits in accordance with hospital procedures.
- Obtain and process the necessary authorisations for admissions where required.
- Explain admission procedures, hospital requirements and relevant documentation to patients and/or their representatives.
- Maintain accurate and up-to-date patient records and ensure that all information is captured correctly.
- Handle patient information with strict confidentiality and discretion.
- Liaise with medical aid providers, doctors, wards, departments and other relevant stakeholders regarding patient admissions.
- Ensure that patients are directed or transferred to the appropriate ward or department following admission.
- Handle admission-related enquiries professionally and efficiently.
- Assist with the processing of patient discharges and other related administrative requirements when required.
- Ensure that all admission documentation is filed and maintained according to hospital procedures.
- Handle cash or payment-related processes where applicable and in accordance with hospital procedures.
- Identify and escalate discrepancies, incomplete documentation or admission-related queries to the appropriate supervisor.
- Provide professional and courteous customer service to patients, visitors and healthcare professionals.
- Comply with hospital policies, procedures and applicable confidentiality requirements.
- Perform any other duties reasonably related to the position.
Requirements
- Grade 12 or equivalent qualification.
- Previous experience in admissions, reception, medical administration or a similar healthcare environment will be an advantage.
- Previous experience in a customer-facing administrative position.
- Basic computer literacy and the ability to work with electronic systems.
- Good verbal and written communication skills.
- Good numerical and administrative skills.
- Excellent customer service and interpersonal skills.
- Ability to work accurately under pressure and manage multiple tasks.
- Ability to maintain confidentiality and exercise discretion when handling patient information.
- Knowledge of medical aid procedures and hospital admission processes will be an advantage.
