Administrative Officer

The Game Products Trust Fund (GPTF) is recruiting applications from quitted and experienced individuals (Namibian nationals) to apply for the position of Administrative Officer . The primary purpose of the Administrative Officer is to ensure the seamless operation of office functions by efficiently managing all reception and administrative. These includes binding switchboard operations, meeting and greeting of 01 visitors, maintaining accurate records of all interning and outgone mails and parcels proud ng clear and sufficient information to the GPTF ..

KEY RESPONSIBILITIES

• Manage the office switchboard operate tor GPTF
• Receive end assist all visitors end guide them to the right staff
• Preside clear and accurate information about the GPTF as required

• Facilitate the cleanliness of the reception area
• Assist with official meetings by scheduling appointments, sending reminders and confirmations and taking minutes as required by the Find Manager
• Mange the process of sending and receding important deliveries, mail, letters find all official correspondences by keeping an accurate record
• Coordinate staff meetings by preparing the venue and refreshments
• Maintain the record of meetings such as minutes, agenda end its distribute thereof
• Participate in the organization planning process
• lead the organization of team building sessions
• Manage the restocking and control of refreshments arid clearing supplies end maintain the stationery needs of the organization

MINIMUM REQUIREMENTS

• Diploma n Office Administration or related fields
• Proven experience (3 – 5 years) n office administration reception (front desk) work
• Strong understating of administration work
• Good written and verbal communication skills
• Knowledge of Microsoft packages
• Good working ethos and telephone etiquette
• well organized and driven person
