• Keep detailed and accurate records of visitors request and of calls received.
• Answer and direct phone calls in a polite and friendly manner.
• Taking and ensuring messages are passed on a timely basis.
• Scheduling appointments and maintain appointment diary either manually or electronically.
• Reconfirm all reservation details with guest.
• Receive deliveries, sort and distribute incoming mail.
• Maintain reception area and surroundings area in a clean and tidy manner at all times.
• Manage office front desk in the absence of  the receptionist.
• Dairy management of board room.
• Ensure that board room and CEO’s office are clean and tidy at all times.
• Operate standard equipment on a regular basis.
• Purchase and maintain of consumables and refreshments.
• Maintain accurate well organized document files.
• Take inventory of supplies and restock as needed.

Qualifications:

• Diploma in Business Administration / Office Administration.
• Two (2) years’ experience in an administration environment.
• Excellent interpersonal and time management skills.
• Exceptional organizing, coordinating and planning skills.
• Attention to detail and strong customer skills.
• Good knowledge of administrative and clerical procedures.
• Knowledge of customer service principles and practices.
• Reliable, accountable and committed.
• Energetic and self-driven.
• Proficiency in English communication.
• Computer literacy (Ms Word, Excel and PowerPoint).
• Valid driver license.
