The purpose of this role is to organize and manage the secretarial support for the sales teams, standardize administration procedures, and provide personal assistance to the Sales Director.

Job Specifications

· Diary and email inbox management for the Sales Director and two Area Directors

· Planning and prioritizing all Key Account Reviews

· Constructing client proposals

· Quality checking proposals and external correspondence for accuracy

· Management of electronic and paper filing systems for sales teams

· Training/ sharing of best practice with the secretarial team where there are skills gaps (Microsoft Office/ Excel/ Report Construction)

· Scheduling meetings, setting agendas and taking minutes

· Compiling call records, sales reports, statistics, and sales analysis

· Constructing sales presentations

· Client database entries kept up to date and accurate

· Providing administration cover for the reception, holidays

· Preparing confidential reports and tender documentation

· Scheduling client training as soon as product installation is agreed

· Liaising with the other department on behalf of the sales directors

· Communicating changes in procedures or service to all sales personnel

Requirements

· People management and interpersonal skills

· Excellent Customer Service – both internal and external

· Advanced Microsoft Office Skills in Word, Excel, and PowerPoint

· Accuracy in report writing and formatting skills

· Ability to add value to sales proposals and correspondence in wording and layout to best meet clients’ objectives

· Confidential, diplomatic and discreet
