Job Title: Branch Administration Supervisor
Location: Ongwediva
Key Responsibilities
- Supervise and coordinate daily administrative operations within the dealership branch, and ensure accurate documentation and filing of all dealership records.
- Maintain compliance with dealership policies and manufacturer standards and manage branch correspondence, reports, and documentation.
- Oversee daily cash handling, banking, and petty cash control.
- Ensure accurate processing of invoices, receipts, and financial transactions and assist with preparation of monthly financial reports and branch reconciliations.
- Monitor administrative budgets and control office expenses and support the Vehicle Sales Department with registration documentation, licensing, and deal files and ensure correct processing of vehicle invoices and customer documentation.
- Support the Service Department with job card administration and warranty documentation and assist the Parts Department with administrative documentation and inventory records.
- Ensure adherence to company policies and manufacturer standards and prepare operational and financial reports for management.
- Maintain confidentiality of financial and customer information.
- Assist with internal and external audits; supervise and train administrative staff; allocate duties and monitor performance; ensure team productivity and efficiency; handle customer administration queries professionally; and maintain accurate, up-to-date customer records and documentation.

- Leadership and supervisory ability
- Attention to detail and accuracy
- Strong communication and interpersonal skills
- Computer literacy (Microsoft Office, dealership management systems)
- Ability to work under pressure and meet deadlines
- Diploma or Degree in Business Administration, Accounting, or Finance.
- Minimum 3-5 years administrative experience, preferably in the motor industry or dealership environment.
- Supervisory experience is an advantage.
