The Receptionist and Orders Co-Ordinator is responsible for managing the switchboard, handling incoming and outgoing calls, welcoming and directing visitors, and contributing to the professional image of the organization. The role also includes telesales support and daily order capturing in line with agreed standards and service levels.

Key Responsibilities:

• Answer and direct incoming calls and receive visitors

• Record and control messages efficiently

• Administer mail and courier deliveries

• Monitor incoming emails/orders and distribute accordingly

• Organize internal facilities (Board Room, Whitehouse, catering)

• Oversee telephone systems (fax-to-mail, website, etc.)

• Act as interface for suppliers (Telecom, Omnitel, etc.)

• Notify personnel via email of telephone/fax disruptions and restorations

• Assist with and troubleshoot sales tools (cellphones, laptops, tablets) and IT systems (SAP, Skynamo, Tableau)

• Book internal and external facilities (venues, travel, accommodation) for Sales Operations

• Administer and process sales orders received via fax, email, or other channels

• Order and manage departmental logbooks

• Maintain the bookstore’s organization and inventory

• Provide support to the Sales Administrator as needed

• Collaborate closely with all departments

• Qualifications & Preferred Traits:

• Minimum Grade 12

• At least 2 years of relevant experience

• SAP experience is an added advantage
