north of Windhoek on the A1 Highway on the farm Klein Okapuka.

PRIMARY PURPOSE OF THE POSITION
To ensure that all relevant Office administrative functions is attended to, within the department.
KEY FUNCTIONS AND RESPONSIBILITIES
• Switchboard Function + Front Office Reception
Oversee the Switchboard position to receive all incoming calls and re-direct same to appropriate extensions
Oversee the Switchboard position to Ensure timeous communication and/or distribution of messages, faxes, parcels, and inter-office mail.
Oversee the Switchboard position to Maintain an internal register of contact details and extension numbers.
Oversee the Switchboard position to Access control and housekeeping of the Front-office Reception area
Oversee the Switchboard position to Receive and direct visitors appropriately.
Issue of petty cash monies with the corresponding voucher signed for as and when required
Issue / Stock Control of office stationery.
Issue of refreshments for Admin Office and Boardrooms
Co-ordinate Duty Driver’s Daily Delivery and Collection Schedule
Oversee the Switchboard position to Maintain Boardroom booking diaries.
Oversee the Switchboard position to Preparation of Boardrooms for scheduled meetings (setting up and refreshments)
• Data capturing and processing.
Process Weekly Clocking Report
Management Reports
Packaging Waste
Accpac Orders and processing thereof
• General
Relief function for Switchboard / front office reception as and when required.
Assist with general administrative tasks in other departments as and when required.
Travel Arrangements
Budget
Carry out Ad Hoc tasks as and when given by management.
MINIMUM QUALIFICATION AND EXPERIENCE
• Grade 12 (NQF 4).
• Four (4) year’s previous administrative work experience.
• Fully computer literate. (All MS Office Suites with advanced Excel)
• Namibian citizen.
• Proficiency in English, being bilingual will be an advantage.
• Valid Code BE driver’s license & own reliable transport.
