An exciting and challenging opportunity is available for a Bookings Administrator at Naankuse Wildlife Sanctuary located 45kms from Windhoek. Reporting Directly to the Bookings Manager, you will form an integral part of a small team in the Bookings office but will liaise with several departments across the Organisation.
Main responsibilities (but not limited to):
- Be one of the main points of contact for the guests’queries.
- Manage and maintain all existing and new Agent relationships.
- Process and manage all booking enquiries in a timely manner.
- Use Reservation software to ensure that the Bookings process is effectively carried out, including suggestions for process improvements.
- Manage and maintain all supporting project documentation including rates and information documents.
- Assist the Bookings Manager with inductions for the new arrivals.
- Check the rooms to ensure that they are ready for the new arrivals and ensure that the driver has the instructions so that the guest will be picked up at the arrival point at the correct time and that the driver knows who to contact for the meet and greet upon arrival at the farm.
- Develop marketing initiatives to increase our volunteer numbers.
- Identify and establish relationships with new agents and promote the Naankuse Projects.
- Update the Project PDFs for any changes and ensure that the new and existing Agents and both our and their websites have the most recent information.
- Prepare the monthly booking statistic reports and compile the results of the Evaluation reports.
- Assist with other ad hoc projects as they arise.
Requirements:
- Minimum of 3 years office administration experience preferably in the hospitality Industry
- Strong organizational and communication skills and experience working as part of a team and with guests.
- Fluent in written and spoken English.
- Highly organized and strict attention to detail essential
- Comfortable working under high pressure and managing multiple tasks simultaneously.
- Proficient with Microsoft office programs, Outlook. Excel, Word, and PowerPoint
- Knowledge of Reservations and Point of Sale systems
- Salary is negotiable.
