Sales Administrator The successful candidate will be responsible for maintaining sales records, coordinating quotations and proposals, managing tender documentation, tracking submission deadlines and supporting accurate client communication. Practical experience with Namibian tender applications is a key requirement for this role.

Key Responsibilities
- Identify, track and maintain records of relevant tender opportunities and submission deadlines.
- Prepare and compile Namibian tender application packs, including mandatory forms, company documents, compliance certificates, product documentation and pricing schedules.
- Coordinate technical, pricing and management inputs for tender submissions.
- Check tender documents for completeness, accuracy, signatures and compliance before submission.
- Maintain a tender register, submission archive and lessons-learnt record.
- Prepare quotations, sales documents, proposal templates and standard client correspondence.
- Maintain accurate client files, sales records, purchase orders, quotations and related documentation.
- Ensure version control of proposals, tender packs, capability statements and product information.
- Support the sales team with meeting preparation, minutes, follow-ups and document formatting.
- Update CRM or sales tracking tools with client details, opportunities, quotation status and follow-up dates.
- Prepare weekly and monthly sales administration reports for the Head of ICT Sales.
- Track quotation ageing, pending responses, submitted tenders and awarded or lost opportunities.
- Flag overdue actions and upcoming tender deadlines to the sales team.
- Respond professionally to client administrative queries and route technical queries to the correct team.
- Coordinate meetings, document requests and follow-ups between clients, sales, technical and finance teams.
- Support collection of client information required for proposals, tenders and account administration.
- Monitor and maintain company compliance documents used for tenders.
- Support registration and updating of ALTUS ICT supplier profiles on relevant procurement portals where required.
- Keep a checklist of expiring compliance documents and escalate renewals timeously.
- Provide reasonable administrative support to the Head of ICT Sales, Sales Executives and management.
- Assist with events, client visits, document deliveries and general commercial administration when required.
Requirements
- Diploma or Certificate in Business Administration, Office Administration, Sales Administration, Procurement, Marketing, Information Technology, or a related field.
- Minimum 3 years’ experience in sales administration, tender administration, bid coordination, procurement support or commercial administration.
- Proven practical experience in tender applications, including completion of tender forms, compliance documentation and submission packs.
- Experience in the ICT sector serving government, SOEs and large corporates will be an advantage.
- Strong proficiency in Microsoft 365, particularly Word, Excel, Outlook, Teams and PowerPoint.
- Valid driver’s licence will be an advantage where document collection or tender submission support is required.
- Knowledge of the Public Procurement Act will be an advantage.
- Technical Competencies
- Excellent tender administration and document control skills.
- Knowledge of procurement processes, including government, SOE, local authority and corporate tender requirements.
- Ability to compile compliance packs and track mandatory documents.
- Strong attention to detail, filing discipline and deadline management.
- Ability to prepare quotations, sales documents, meeting notes and client correspondence.
- Good understanding of ICT terminology.
- Ability to coordinate inputs from technical and sales teams.
- Professional communication, client service and internal coordination skills.
- Ability to work under pressure and manage multiple submissions at the same time.
