**GRADUATE INTERN**
**Paterson Grade: B1**
**Job Purpose**
Assisting with administrative tasks in the Office of the Executive Director. This includes ensuring efficient office operations by managing schedules, correspondence, documentation, and relationships. She/he will contribute to improvement in productivity through strong organizational, communication, and technical skills, acting as the central hub for team support, data entry, and office upkeep.
Key Responsibilities
- Calendar & Schedule Management: Efficiently managing meetings, appointments, and travel arrangements to maximize time efficiency for the Executive Director.
- Communication & Correspondence: Handling emails, phone calls, and, if needed, visitor services with professionalism and accuracy.
- Information & File Management: Organizing, digitizing, and securely maintaining records, ensuring data accessibility while maintaining confidentiality.
- Technical Proficiency & Office Software: Producing accurate, high-quality documents, presentations (e.g., PowerPoint), and reports.
- Office Administration & Logistics: Managing office inventory, supplies, and maintenance requests to ensure smooth daily operations.
- Task Prioritization & Problem-Solving: Managing competing priorities, meeting strict deadlines, and anticipating needs to resolve issues proactively.
Requirements
- Bachelor’s Degree in Economics, Commerce, Law, Accounting, Computer Studies or other Finance-related Fields.
- Excellent written English (First Language at school level with an A or B symbol / 1 or 2)
- Proficient in relevant computer software packages and application
- Must not have formal full-time work experience (previous internship experience permitted)
- Proficient in Google Workspace (Google Docs, Sheets, Slides and Drive).
- Valid driver’s license will be an advantage
- Exceptional written and verbal communication skills in English
- Strong analytical and numerical ability
- High attention to detail and accuracy
- Excellent Excel and data management skills
- Ability to interpret financial and economic information
- Strong research skills
- Good time management and ability to meet strict deadlines
- Self-driven and proactive
- Ability to work independently with minimal supervision while also functioning effectively within a team
- High level of integrity and professionalism
- Problem-solving and critical thinking skills
- Leadership potential demonstrated through academic or extracurricular achievement
