JOB SUMMARY
The General Manager of Women at Work is primarily responsible for:
establishing and maintaining stakeholder engagement that will ensure a constant source of donor funding, delivery of relevant training initiatives and a reliable network of job placements and employment opportunities
identifying, reviewing, and implementing training initiatives that are relevant and impactful and that will deliver on the mandate and purpose of Women at Work
implementing marketing and public relations initiatives to establish continued market presence and visibility for Women at Work
managing all full-time and part-time employees to ensure effective execution of duties and sufficient performance levels
managing financial and operational responsibilities of Women at Work, being accountable to the Board
To be successful in this role, the job holder should be a strong networker and a confident decision-maker who is passionate about skills training and understands the need for development that will make a real difference in the lives of the unemployed women of Namibia.
KEY PERFORMANCE INDICATORS (KPI’S)
Stakeholder Engagement to source donor funds, identify training needs and possible job opportunities or placements
Liaise with relevant industry specialists, institutions, contacts, and W@W Board members to identify potential donor organisations/individuals and to identify possible job opportunities and placements for trainees.
Identify relevant contact people and details and establish first contact to arrange introductory meeting, defining the type of donation or work placement to be targeted
Conduct relevant meetings and present marketing material, maintaining a constant schedule of meetings to build up a comprehensive stakeholder network
Engage in follow-up communication as agreed during meeting and capture all relevant information and details for future use
If relevant, confirm donation or job placements and send appropriate communication in response
Develop, discuss, and agree on a future engagement plan with the donor/employer and schedule and implement this plan, including follow-up communication and visits as well as involvement in marketing events, graduations and other special occasions.
Build trust relations with key partners and stakeholders and act as a point of contact for important shareholders.
Compile and maintain feedback reports to all relevant parties
Continuously conduct relevant research on the external environment of Women at Work to inform decision-making and ensure a continuous process for sourcing of donor funds, review and improvement of training initiatives and employment opportunities for trainees
Training analysis and planning
Identify, review, improve or maintain training initiatives that are relevant to the mandate and purpose of Women at Work
Research and identify new/relevant training initiatives, needs and solutions that will appeal to potential trainees and deliver on the mandate and purpose of Women@ Work
Identify target audience and draw up a training plan, calendar and costing/budget for approval by EXCO or the Board
Advertise training initiatives in social or printed media, as per the agreed marketing plan
Engage with relevant trainers and establish service-level agreements and communication guidelines (including training reports) for training events, payments, and other requirements.
Order and purchase relevant goods (stationery/food supplies/fabric, etc) in preparation for training session
Manage, control, and monitor training expenses within budget limitations
Review training reports from trainer and feedback forms from trainees and implement changes or improvements as required
Compile relevant feedback report on training completed, including recommendations on changes, and submit to EXCO or Board as required
Update and renew training material, content, or processes as required
Communicate feedback to all relevant parties, including trainer(s), donors, stakeholders, etc
Marketing and Public Relations
Identify relevant marketing initiatives, channels, and platforms to maintain ongoing presence in the market
Develop and implement marketing and stakeholder engagement plan with actions and milestones
Develop a marketing budget and manage and control the implementation of the budget once approved, managing expenses within limits
Compile or oversee the development of all relevant marketing materials as required, such as articles, pamphlets, or posts
Implement marketing activities and advertising on social media and relevant areas
Gather feedback on marketing events and initiatives, review and amend as required, and communicate feedback to all relevant parties
Compile relevant feedback report on marketing initiatives, including recommendations on changes and submit to EXCO or Board as required
Management and administration
Provide general oversight of all Women at Work activities and manage the day-to-day operations and functions of the administrator and full-time trainer
Establish duties and responsibilities of part-time trainer(s) in service level agreements and manage and control these outputs
Evaluate performance of all staff regularly, engaging in communication and feedback to improve or maintain performance and thus build a positive and transparent work environment
Manage and implement disciplinary procedures as and when required as per given guidelines.
Monitor and control compliance of all employees and students with Health and Sa
Compile, maintain and file relevant documentation for employee files such as leave applications, employment contracts, disciplinary documentation, and performance discussions.
Compile, maintain, and file relevant service level agreements with part-time trainers, including all evidence of communication and payments for the purposes of effective record keeping.
Compile relevant feedback report on all HR matters, including recommendations on changes or improvements, and submit to EXCO or Board as required
Finance
Control and manage all income received from donors, students, and/or sales, ensuring everything is properly recorded and banked regularly.
Prepare a monthly income report to the Finance Consultant and Director responsible for treasury/finance at Women at Work.
Manage and control student payments and trainer costs within budget parameters and according to all regulations and requirements.
Plan and research fund-raising activities that will be cost-effective in terms of time, effort, and scope to ensure maximum return on investment and exposure in the marketplace and submit to EXCO or Board for approval.
Facilities
Provide general oversight of all Women at Work facilities and manage the day-to-day maintenance, cleaning and general upkeep of all equipment and facilities to ensure a professional, safe and positive environment for staff and students
Report maintenance issues to relevant parties and follow up on completion

Relevant BA in Administration and/or Business will be required.
At least 8 years’ experience in education of which at least 2 years should be in a leadership position.
