Job Description:
Reporting to the Managing Director, the incumbent will organize the entire Windhoek Administration Office in a precise, reliable and loyal way. He or she will handle all visitors, prepare and handle all meetings and functions of the Windhoek office and assist the management team in administrative and technical duties. The position is based in Windhoek.
Responsibilities
· Maintain continuous coordination within the Management Team.
· Maintain an efficient filing system
· Support and assist the Managing Director in his daily work.
· Responsible for internal and external communication including the media.
· Execute given tasks in time, at excellent quality, confidentiality and loyalty.
· Self-reliantly anticipate the needs of the MD’s office and act accordingly.
· Assist with reports, documents and presentation as and when required.
· Work with the relevant management systems.
· Manage contractors (e.g., cleaning services, transport services) on a daily basis.
· Assist with the entire travel arrangements, claims and car fleet management of Windhoek based employees.
· Assist the General Administration Manager with tasks as required.
Requirements
· Secretarial or Office Administration Diploma with minimum five (5) years’ relevant experience as a management secretary.
· Proven track record of management support and coordination
· Must be able to work absolutely accurate, reliable, loyal and handle all information completely confidential.
· Ability to work in a rapid paced environment to handle multiple tasks and meet deadlines.
· Good communication and interpersonal skills.
· Willingness to learn and develop new skills.
· Must be highly computer literate.
· Must be able to work independently but also in a team.
· Fluency in English is a prerequisite.
· Must have a Code B driving license.
Requirements
